Guide
How do you switch commercial cleaning companies without a gap in service?
What to check in your current contract, what to compare, and how to move from one provider to the next without a gap in service.
The short answer
Read your termination clause first: contracts in this trade renew tacitly, with a notice usually observed between 30 and 90 days before the anniversary date. Send your termination in writing with proof of delivery, compare offers on price per visit and written scope, then overlap one to two weeks between the old and the new provider. The limiting factor is almost never the new provider: it is your notice.
The steps
Six steps, in this order.
Read your termination clause before anything else
This is the step that decides the calendar, and the one people skip. Three things to find: the initial term, the renewal mode and the notice. Cleaning contracts in this trade very often renew tacitly, with a notice usually observed between 30 and 90 days before the anniversary date. Missing that date renews the contract for a full cycle.
Note your anniversary date, then count backwards
If your notice is 60 days and your contract renews on March 1st, your decision must be made before January 1st, not in February. Send the termination in writing, with proof of delivery, even if your provider accepts notice by phone. A notice you cannot prove was never given.
Compare what can be compared
A monthly price alone means nothing. Without the surface covered and the frequency, two offers cannot be compared. Bring each proposal down to a price per visit, then check what that visit contains: which rooms, which tasks, at what frequency each. A quote that does not list the scope leaves room for a quiet reduction of time spent.
Avoid the gap in service
The risky moment is not the signature, it is the switch. Two ways to secure it: overlap one to two weeks between the old and the new provider, or align the start of the new contract with the last week of the old one. At Ninja Bleu, the start requires at least 7 days after signature: that is the lead time to build into the calendar.
Settle the practical matters
Access cards or codes, keys, alarm, storage room, equipment and supplies left on site: the list is made before the departure, not after. It is also the moment to check whether supplies were billed in advance and can be recovered.
Your termination notice, in three lines
Subject: termination of the cleaning contract. "In accordance with the termination clause of our contract, we inform you that we will not renew it at its anniversary date of [date]. Service ends on that date. Please acknowledge receipt." Send it by email with a read receipt, or by registered mail, and keep the proof.
Insist on a written adjustment period
What holds most companies back is not the price, it is the fear of trading an average service for a worse one. Ask for a written adjustment period. At Ninja Bleu, the first five visits serve as calibration and you have 48 hours to accept the adjusted price or cancel without penalty; after that, any gap is flagged from the app within 48 business hours. Add the trial, up to 14 days with no charge, and you judge on the work done, not on a promise.
A sample calendar
60-day notice, contract renewing on March 1st.
| Before January 1st | Decision made, termination sent in writing with proof of delivery |
|---|---|
| January | Video quote in 2 minutes, comparison on price per visit and scope |
| February | Signature, access handover, start scheduled (at least 7 days after signature) |
| Last week of February | Overlap: the new provider starts, the old one finishes |
| March 1st | Old contract over, not a single day without a visit |
Sample only. Replace the dates with those of your contract.
What to gather before you start
- Your current contract, and its termination clause
- The anniversary date and the required notice
- The actual surface of the space, in square feet
- The current frequency, room by room if it varies
- The list of tasks agreed at signature
- The inventory of what belongs to the outgoing provider
Frequently asked questions
Switching providers: the questions we get asked
What notice is needed to terminate a cleaning contract?
It depends solely on your contract. In this trade, the observed notice usually sits between 30 and 90 days before the anniversary date, with tacit renewal if nothing is sent. Read your termination clause and send your notice in writing, with proof of delivery.
Can you switch providers without an interruption in service?
Yes, by overlapping one to two weeks between the two contracts, or by aligning the start of the new one with the end of the old one. At Ninja Bleu, the start requires at least 7 days after signature, which leaves time to organize the transition.
How long does switching providers take?
The quote takes 2 minutes and the start at least 7 days. The limiting factor is therefore almost never the new provider: it is the notice on the current contract, between 30 and 90 days depending on the case.
What if I change my mind after signing with Ninja Bleu?
During the trial, up to 14 days depending on the monthly amount, nothing is charged and you cancel at no cost. Afterwards, the service ends with 45 days’ notice, and you only pay for the days of service used.
How do you compare two cleaning quotes?
Bring each one down to a price per visit, then compare the written scope: rooms, tasks, frequency of each. Two monthly prices without surface or frequency cannot be compared. A quote with no written scope is a quote that can shrink.

“We hired Ninja Bleu to clean our offices and, honestly, it's probably the best decision we've made this year.”
